Subcontractor Portal Terms of Use

Total Cladding and Roofing Ltd
Effective date: 1 November 2026

These terms apply when you use our portal at app.scopeflow.us/pm/portal/tcr-uk (the “portal”) as a subcontractor, to apply to work with Total Cladding and Roofing Ltd (“TCR”, “we”, “us”) or to keep your business’s details and documents up to date, or as a client, to see the quotes, contracts, RAMS and site photos we share with you and to answer and sign what we send you. Total Cladding and Roofing Ltd is a company registered in England and Wales (company number 13436132), with its registered office at Unit 7 Westmead Trading Estate, Westmead, Swindon SN5 7YS. By signing in, sending an application or uploading a document, you accept these terms on behalf of the business you represent. If you do not accept them, please do not use the portal.

1. Who can use the portal

The portal is for businesses and sole traders who want to work with us as subcontractors, and for our clients: people we have sent a quote to, and people our team has added to a job. You must be 18 or over and authorised to act for the business you name. We sign you in with a one-time link and a code sent to your email address (you can ask for them in the portal or in the Client & subcontractor login box on our website), so anyone who can read that email can open your account. Keep your email account secure, and tell us straight away at info@tcandr.co.uk if you think someone else has used it.

2. Accurate and up-to-date information

You confirm that the details and documents you give us are true, complete and current, and that you are entitled to share them. Keep them up to date, and renew insurance certificates, cards and other documents before they expire; the portal reminds you before they do. Do not upload anything unlawful, anything you do not have the right to share, or anything unrelated to working with us.

3. Your documents

Insurance. We ask for your public liability and employer’s liability insurance. We may contact your insurer or broker to confirm your cover, its limits and its dates.

The Construction Industry Scheme (CIS). We verify you with HM Revenue & Customs (HMRC) under CIS before we pay you, and we make any deductions HMRC tells us to. Tell us straight away if your CIS registration or status changes.

Cards, method statements and policies. If you add trade cards, a method statement or your health and safety policy, you confirm that they are genuine, current and belong to the people and business they name, and that the people on any cards have agreed to you sharing them with us.

Your crew. If you list the people you send to our sites and add photos of their cards, you confirm that each person knows you are giving us their details and card photos for this purpose, and that each card is theirs and genuine. Our team checks every card. At our sites, our site manager signs each person in and takes them through our site rules, which they sign; someone whose cards are missing or out of date may be turned away.

Automatic reading. When you upload a document or a photo of a card, an automated service reads it to fill in its type, issuer and dates. Check what it read and correct anything wrong before you confirm it; the details you confirm are your statement to us. Our Subcontractor Data Notice explains how this works.

4. Applications, approval and work

Applying does not guarantee approval or work. We review every application, with the help of an automatic check that can approve insurance documents but never declines or sends anything back (see our Subcontractor Data Notice), and decide, at our discretion, whether to approve, decline, put on hold or remove a business, for example when a required document expires or information turns out to be inaccurate. Approval does not make you our employee, worker, partner or agent, does not create an exclusive arrangement, and does not commit us to offer any work or you to accept it. Each job is agreed separately in writing, and the subcontract or order for that job governs it. You remain an independent business responsible for your own workers, their pay, tax, National Insurance, insurance and safety, including your duties under the Health and Safety at Work etc. Act 1974 and the Construction (Design and Management) Regulations 2015.

Signing contracts in the portal. We may send you a subcontract or other contract to read, download and sign in the portal. To sign, you type your name and your position and confirm. By doing so you agree to sign electronically, you confirm that you are authorised to sign for your business, and your business agrees to that contract, just as it would by signing a paper copy. We keep, with a signed copy of the contract, the name and position you typed, the email address you signed in with, the date and time, and a fingerprint (a SHA-256 code) of the copy you read and of the signed copy. You can download the signed copy from the portal. A contract that must be signed as a deed is not signed in the portal: we send it to you to sign on paper in front of a witness.

5. Clients

If you are a client, you can see in the portal the quotes we have sent you and every version of each one, and the contracts, approved RAMS and site photos for your job that we show you. You see a job when a quote for it was sent to your email address or a member of our team has added you to it. If you need to see a job from another email address, you can ask for access in the portal, and nothing is shown to that address until we let it in. Our team can add or remove people at any time.

You answer a quote in the portal. We record your answers and which quotes and documents you open, and our team can see them. We may also send you a contract to read, download and sign in the portal, and you may upload a contract of your own for us to sign. Signing works as described under “Signing contracts in the portal” in section 4: you type your name and position and confirm, you agree to sign electronically, you confirm that you are authorised to sign for your business, and your business agrees to that contract, just as it would by signing a paper copy. We keep with a signed copy the name and position you typed, the email address you signed in with, the date and time, and a fingerprint (a SHA-256 code) of the copy you read and of the signed copy.

6. Messages

Once you are approved, we may call or email you about jobs that fit your trades and the regions you cover. We also email you about your account: sign-in links and codes, reminders before your documents expire, the outcome of our reviews, and when a message or a contract is waiting for you. We do not send marketing through the portal.

You and our team can send each other messages in the portal, for example about a document we need you to replace or a contract we sent you. When we write you a message, we email you to say a message is waiting; the message itself stays in the portal, where you read and answer it. When we decline a document or an application, or put your account on hold, our email includes our note, and the note is also in your portal messages.

7. Using the portal properly

Do not try to reach information about other businesses, interfere with or overload the portal, test its security, use automated tools to create applications or copy its pages, or pretend to be someone else. We may suspend or close access that breaks these terms.

8. Your information

Our Subcontractor Data Notice explains, for clients as well as subcontractors, what we collect through the portal, why, who we share it with, where it is stored, how long we keep it and your rights. Our Privacy Policy covers our website and our other communications.

9. Closing your account

You can ask us to close your account and remove your information at any time by emailing info@tcandr.co.uk. We may close an account that is declined, left unfinished or used in breach of these terms. When an account closes, we keep only the records that our Subcontractor Data Notice says we keep.

10. The portal itself

The portal runs on ScopeFlow, the project management software we use for our jobs. We provide it “as is” and “as available”: we work to keep it secure and running, but we do not promise that it will always be available or free of errors. Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited or excluded by law. Otherwise, we are not liable for any indirect or consequential loss, or for any loss of profit, business or data, arising from your use of the portal.

11. Changes to these terms

We may update these terms. The effective date at the top shows when they last changed. If a change is significant, we will tell you by email or in the portal.

12. Law

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
